GYPSUM MILLS COOPERATIVE BOARD OF DIRECTORS MEETING AUGUST 10, 2005

  1. The meeting was called to order by Jim Anthony at 6:33 PM. All members except Bill Hoffman were present. Eileen Ramsdell lead the Pledge of Allegiance.
  2. Announcements/Recognitions: Jim thanked all for their help on the Yard Sale.
  3. Ron Platten read the minutes from the last Board Meeting, Jim Anthony moved to accept as read.
  4. Eileen Ramsdell gave the Treasurer Report: Balance as of Aug. 5 was $2,975.54. Jim Anthony moved to accept the report for audit. Accepted.
  5. Facilities Report - Jim for Bill Hoffman. House fund current balance is $23.04. Ron moved to accept.
  6. Complex Use Report - Leroy Lashua said the carpets are not cleaned yet. He received donations of $ 50 for Complex use.
  7. Community Relations - Sam Condo has no new issues to report.
  8. Legislative Affairs - Gaynor Seeber met with Jane Pierce and Saralyn Gould; no new issues.
  9. Helping Hands - Lou & Doris Guyette had a potluck supper for all on the committee, which has mowed lawns, shopped, cared for dogs for ill residents, and made hospital visits.
  10. Picnic Report - Ron Platten gave the final picnic financial report. The expected shortfall of $922.49 is covered by the treasury. Lou sent very nice individual thank you letters for donations (with copies of the Scoop). A picnic report document will be forthcoming.
  11. Yard Sale - Linda Bartolone reported a profit of $ 668.21. This beat last year. Thanks to residents who provided baked goods. We will check to see if the second weekend next year will have fewer conflicts with other yard sales in the area to help attract more buyers.
  12. Management Report - Joyce Southerton said a resident had advertised a 2-day yard sale; that is not permitted. Next year we should highlight the rule and be more explicit: You cannot display items the day before, and the area must be cleaned up on Saturday. That resident was issued a violation. Management is meeting with the fire safety inspector and John Brackett to develop an updated evacuation plan for the complex. Chairs cannot be stacked in the complex nor stored in the back hallway. We need to add to the "Complex Use Rules" that residents using the complex are shown the locations of the 3 exits. Mr. Morgan approved more tables and chairs for the pool, but we cannot get the items now as it is too late in the season; storage is a problem as well. Joyce combined Sam's list with hers of remaining items to be corrected in the park, and on Wednesday the list was given to Michael Alcorn, the new Regional Park Manager. Other open items on the list from last meeting are being handled. The Board will prepare the food for 300 people for Open House this weekend. Ron will shop on Thursday and move the soda & water to the center; Sally Seeber and Linda will make Sloppy Joe's on Thursday, and Sam will make pulled pork on Friday. Joyce will have the tent set up.
  13. Unfinished Business - The Hoedown is all set for Saturday, August 27. The band is ready, Joyce has finger food, Jay is ready with the cash bar. This event is FREE, just bring your lawn chairs, open to residents only, 7-11 PM.
  14. New Business - We will continue posting board minutes as we have been for the time being. The Road Rally was cancelled since no volunteers called to help organize. It will be replaced by an Oktoberfest with German Potato Salad & Sauerkraut, etc. The September Resident's Quarterly Meeting will be on Sept. 1 at 7:30. Jim moved to skip the September board meeting. Passed. The October board meeting will be Oct. 13 in the Complex at 6:30 PM. Sam moved to get extra complex keys for Sam, Linda and Lou. Approved.
